Privacy Policy

This policy explains how Drivers Hub ("we", "us") collects and uses personal data when you use our platform, in line with UK GDPR and the Data Protection Act 2018. We are the data controller for account data you provide to us.
1. Data we collect
- Account data: name, email, phone, password (hashed), role, company details.
- Driver profile data: licence number, vehicle/route info, availability, emergency contacts, bank details for payroll, profile photo.
- Documents: licence, CPC, right-to-work, DBS and similar — used to verify you, then permanently deleted once reviewed. We keep only the approval record and limited references (e.g. licence number, expiry).
- Usage & technical data: sign-in activity, IP address, device/browser, and check-in location (only when you check in to a shift).
2. How we use it
- To provide the Service: matching drivers to shifts, verification, check-in, payroll references, notifications.
- To operate billing for agencies and garages.
- To keep accounts secure (two-factor authentication, audit logs).
- To improve and support the Service.
3. Lawful bases
We process data under: performance of a contract (providing the Service), legitimate interests (security, improving the platform), consent (optional cookies and marketing), and legal obligation where applicable.
4. Sharing
We share the minimum necessary: a driver's relevant profile and shift details are visible to the agencies/garages they work with. We use trusted processors (hosting, email, payments) under contract. We do not sell personal data.
5. Document deletion & retention
Uploaded identity/compliance document files are deleted automatically once an agency reviews them. Account and shift records are retained while your account is active and for a reasonable period afterwards to meet legal and accounting obligations, then deleted.
6. Your rights
You can access, correct, export or delete your data. Use the Settings → Your data tools to download a copy or delete your account, or email us. You can also object to or restrict certain processing and withdraw consent. You may complain to the ICO (ico.org.uk).
7. Cookies
We use essential cookies to run the Service (e.g. keeping you signed in) and, with your consent, optional cookies for analytics. You can manage your choice via the cookie banner.
8. Security
We use encryption in transit, hashed passwords, optional two-factor authentication, access controls and automatic deletion of sensitive documents. No system is 100% secure, but we take reasonable measures to protect your data.
9. International transfers
Where data is processed outside the UK, we use providers with appropriate safeguards (e.g. UK adequacy or standard contractual clauses).
